LLUMIFIELD ("we", "us") provides field service management software for trade businesses. This policy explains what information the LLUMIFIELD mobile and web applications collect, how we use it, and your choices. LLUMIFIELD is used by businesses to manage their own operations; if you are an employee or customer of a business that uses LLUMIFIELD, that business is the controller of your data.
We do not sell your personal information. We share data only with service providers that help us operate the app (e.g., hosting, cloud storage, push and email/SMS delivery, and payment processing) and only as needed to provide the service, or when required by law.
If you are a customer of a business that uses LLUMIFIELD and you opt in to text messages — on that business's booking page, or by telling its staff directly — that business may text you appointment reminders, technician arrival and ETA notices, and related customer care messages. Message frequency varies. Message and data rates may apply. Reply STOP to any message to unsubscribe, or HELP for help.
We do not sell or share mobile phone numbers or SMS opt-in consent with third parties or affiliates for marketing or promotional purposes. Phone numbers are shared only with the messaging providers that deliver the messages on our behalf, and only for that purpose. Opting out of texts does not affect your service, and consent to receive texts is never a condition of purchase.
If your business connects Google Calendar, we access your Google Calendar
events solely to provide the two-way appointment sync you configure. We request
only the calendar.events permission and read or write only events on
the connected account's primary calendar: we create and update events for
appointments scheduled in LLUMIFIELD, and import events you create in Google
Calendar so your team is not double-booked. We store the event identifiers and
the times, titles, and descriptions needed to keep the two calendars in sync,
plus an encrypted access token. We never read or change your calendar settings,
sharing, or other calendars.
LLUMIFIELD's use and transfer of information received from Google APIs adheres
to the Google
API Services User Data Policy, including the Limited Use requirements. We do
not use Google user data for advertising, we do not sell it, and we do not allow
humans to read it except with your permission, where necessary for security, or
to comply with law. Disconnecting Google Calendar in the admin settings removes
the stored tokens and stops all further access.
LLUMIFIELD has no AI or machine-learning features of its own, and our servers send your data to no AI provider. You may optionally connect your own AI assistant account to your own company data through the MCP connector, which you authorise and can revoke at any time; the assistant is then operated by you under your own agreement with its provider.
Google Calendar data is excluded from that connector. Appointments imported from a connected Google Calendar are flagged on arrival and withheld from every MCP read path, so Google user data is never transferred to a third-party AI service — raw, aggregated or derived — and is never used to train or improve any model. Appointments you create in LLUMIFIELD stay available to an assistant you connect.
The app requests camera and photo-library access only when you take or attach a photo or video. These permissions are optional and used solely for the actions you initiate. The app does not track your device location in the background.
Connecting QuickBooks Online is optional and is started by an administrator of your business from Settings → QuickBooks Online. We use Intuit's OAuth 2.0 flow, so we never see or store your Intuit password.
While connected we send to QuickBooks: customer names and contact details, invoices and their line items, and payments recorded in LLUMIFIELD. We read back from QuickBooks: customer records, invoice status and balances, and payments recorded there, which update the matching invoice status here.
Access and refresh tokens are encrypted at rest and are used only to synchronise your data. We do not sell QuickBooks data, use it for advertising, or use it to train machine-learning models, and we do not share it with anyone beyond the subprocessors named above.
You can disconnect at any time from the same screen, or from the Apps page in QuickBooks. Disconnecting revokes our token with Intuit and deletes the copies we hold. Records already synced stay in each system and follow that system's own retention rules; what remains in LLUMIFIELD is covered by the retention section below.
We retain data for as long as the operating business maintains its account, and delete or anonymize it on request or after account termination, subject to legal requirements. Data is encrypted in transit (HTTPS) and access is restricted.
You may access, correct, or request deletion of your information by contacting your business administrator or us at the address below. You can disable push notifications in your device settings at any time.
LLUMIFIELD is a business tool and is not directed to children under 13.
